Adding a new member

How to get there:PeopleAll MembersAdd Member
  1. 1Go to People → All Members and select Add Member.
  2. 2Fill in first and last name, gender, phone, email and date of birth (the year is optional).
  3. 3Start typing the street address and pick it from the list — city, community and postcode fill in for you.
  4. 4Choose marital status. If married, pick the family role and wedding anniversary; picking Father sets gender to Male.
  5. 5Add profession (envelope number is optional) and select Next.
Step 1: the member's details.
Pick the address from the suggestions.
  1. 1On step 2, add anyone in the same household: name, family role, gender and birthday.
  2. 2Tick Make this family member an independent member if they should have their own login.
  3. 3Use Is address same as primary member? for a shared household address. If the address is different, enter the family member's own address.
  4. 4Select Save.
Step 2: family members.

Important: The new member gets an email with a username and password straight away. The first time they sign in they must change their password — that is why some people say they can't get in at first.

Upload many members: download the sample Excel template

Use the sample workbook to upload many members at once. It comes with prefilled example rows, not just empty headings, so you can see how personal details and family accounts fit together.

How to get there:PeopleAll MembersUpload Member
  1. 1Open People → All Members and select Upload Member.
  2. 2Select the information (i) button beside Download Sample to read Instructions for Excel Upload.
  3. 3Close the instructions, select Download Sample, and open the downloaded workbook in Excel.
  4. 4Open the Members sheet. Review the four example rows before replacing them with your church's members.
The upload window with Download Sample.
The information button explains required fields, login access and family linking.

Important: The example rows are for reference. Replace or remove them before uploading so they are not added to your member list. Keep the template headings and use one row per person.

Fill the Excel sheet: columns and prefilled samples

How to get there:PeopleAll MembersUpload MemberDownload sample
The left side of the sample sheet. Each row is one person; sample names and contact details are blurred.
First / Last Name
First Name and Last Name are required for everyone, including dependents.
Contact details
Email, Country Code and Phone No are separate columns. Primary and Independent accounts must have both an email and a phone number.
Birthday
Enter the birthday in three separate columns: DOB Month, DOB Day, DOB Year. The examples use numeric values, such as month 1, day 15, year 1980.
Address
Scroll right to see Address, Street, Community, City, Zip Code and Country. Replace the sample address details with the person's own details.
Other details
Complete Gender, Marital Status, Profession, Family Role and Envelope Number where applicable. Use the template's pick-lists where provided rather than inventing new options.
Family and login
The rightmost columns, Family Group ID and Account Type, link the household and decide who has their own login. They are different from Family Role, which describes Father, Mother or Child.
  1. 1Replace the example details with your own member records, one person per row.
  2. 2Keep values in their matching columns; scroll horizontally to complete the columns on the right.
  3. 3Use the family example below to set Family Group ID and Account Type.
  4. 4Save the completed workbook as an .xlsx file, the format accepted by the upload window.

Family Group ID and Account Type: the sample explained

The four prefilled rows demonstrate one household. All four share FAM-001 in Family Group ID: a Father with a Primary account, a Mother with an Independent account, and two Children with Family Member accounts. The adults have contact details; the children's email and phone cells are empty.

How to get there:PeopleAll MembersUpload MemberDownload sample
The same four rows on the right side: one shared family ID, with a separate account type for each person.
Primary
The head of the family. Must have Email and Phone No. Mark the household's head as Primary.
Independent
A family member who can log in independently. Must also have Email and Phone No. They remain linked to the family through the shared ID.
Family Member
A dependent, such as a child, who does not need their own email or phone number.
Family Group ID
Enter exactly the same text for everyone in one household, for example FAM-001. Use a different ID, such as FAM-002, for a different household.

Important: If Account Type is blank, the instructions say a person with both email and phone becomes Independent (or Primary); others become Family Member. The person marked Primary, or the first person with email and phone, becomes the family head. Set account types explicitly to avoid unexpected results.
