Resource Library (staff)
Share documents, videos and forms with members, departments or groups, collect form entries and build your leadership chart.
The Resource Library page
Select Resource Library under Resources. Tabs across the top take you to Resources (files), Videos, Scripture AI, Forms and Leadership.
- Category buttons
- All, Bulletin, Department, Manuals, Music and your own. Select one to filter the list.
- Search
- Find a resource by name.
- Each resource
- Shows its category, size and date, who it's shared with (for example All Members or Department), and View, Edit and the bin to delete.
- Upload Resource
- The button at the top right for adding a new file.
Adding a category
- 1On the Resources tab, select the gear at the end of the category buttons.
- 2In Manage Resource Categories, type a name, for example Books, and select +.
- 3The new category appears in the list and as a filter button. Use the pencil or bin to rename or remove one.
Uploading or editing a resource and choosing who sees it
- 1Select Upload Resource — or Edit on an existing one.
- 2Enter the Resource Title and pick a Category.
- 3Under Share With, choose All Members, Member, Department or Group.
- 4Then pick exactly who: the members, the department or the group. Only they can see it.
- 5Add a Resource Icon if you like, and upload the file (when editing, Change File is optional).
- 6Select Update Resource (or save). It shows in the members' Resource Library straight away.
Tip: Use this for devotional books, manuals and bulletins that only certain people should get.
Adding a video
- 1Open the Videos tab and select Add Video.
- 2Type the Title.
- 3Choose the Type — for example a past stream or an uploaded video — and the Source, such as YouTube.
- 4Paste the Stream URL, then add the Duration and a Description.
- 5Select Publish Video. It appears in the video list for members.
Important: Scripture AI is still being built and isn't available yet.
Forms: preview, entries and export
The Forms tab lists your forms, for example a bus request or workers' training form, with how many fields and submissions each has.
- All / Active / Inactive
- Filter which forms you see.
- Entries
- See everyone who filled the form.
- Preview
- See the form exactly as members will.
- Edit
- Change the form.
- Activate / Deactivate
- Open or close the form to members.
- 1Select Entries on a form.
- 2The top shows Total Entries, entries This Week, Unique Members and whether Smart Reminders are on.
- 3Search by member or keyword, pick a date range, or sort Newest / Oldest.
- 4Select View on an entry to see the answers.
- 5Select CSV or Export Excel to download all entries.
Building a new form
- 1On the Forms tab, select Create Form.
- 2Under Form Settings, type the Form Title, pick an icon and write a Form Description.
- 3Turn on Smart reminders if members should be reminded, for example every Sunday.
- 4Under Access & Visibility, choose who can see it: All Members (Public), a Specific Department or a Specific Group.
- 5From Add Field on the right, select the fields you need — Short Text, Long Text, Number, Email, Phone, Date & Time, Dropdown, Radio Buttons, Checkboxes, File Upload, Star Rating or Section Break. Drag them into order.
- 6For each field, type its label (for example Name). For a dropdown, add each option.
- 7Select Preview Form to check it, then Save Form.
Once saved and active, members can fill it in from their Resource Library and you get the submissions under Entries.
Leadership chart (organogram)
The Leadership tab shows your church's leaders as a chart, with who reports to whom. Members see it in their Resource Library.
- 1Select Add Leader — or the pencil on a leader's card.
- 2Enter the Full Name, Role (for example Senior Pastor) and Ministry.
- 3Under Reports To, choose who they answer to. Choose None (Top Level) only for the person at the top.
- 4Select Upload Profile Photo if you have one.
- 5Select Update Leader (or save). The chart redraws.
Important: Only one person should be Top Level. Everyone else reports to someone, so the chart builds down from them.
