Creating a service

How to get there:ServicesNew Service
  1. 1Select New Service.
  2. 2Enter the name, for example Sunday Service, and pick its colour.
  3. 3Add the location, and the Facebook, Instagram or YouTube links if it's streamed.
  4. 4Set the start and end time.
  5. 5Choose the recurrence: none, daily, weekly, monthly or annual — for example every Sunday, or the first Sunday of each month.
  6. 6Save. Members see it under My Services and on their dashboard.

Making it a recurring service: under Recurrence pick Daily, Weekly, Monthly or Annual instead of None. For weekly, tick the day(s) under Repeat on Days (for example Sun, or Wed for Bible Study). Set Schedule From (the first date) and, if it should stop, Schedule To (Optional) — leave it empty to keep repeating. Every date then appears on the calendar and the Recurring Services count goes up.

The Create New Service form: name, colour, location, stream links and times.
Recurrence: pick how often it repeats and the schedule dates.
The saved service appears on the calendar.

Order-of-service templates

Templates save your usual order of service — opening prayer, worship, sermon, offering, announcements — so you don't rebuild it every week.

How to get there:Service PlannerTemplatesNew Template
  1. 1Open Service Planner → Templates and select New Template.
  2. 2Add each activity with its time and duration.
  3. 3Save. Create, edit or delete templates any time.

Changing who is on the order of service

Each line of the order of service has an activity, a time, the person Assigned To and notes. You can change any of them, for one date or for every future service.

How to get there:ServicesOpen the serviceOrder of ServicePencil (Edit) on the activity
  1. 1Open the service and stay on the Order of Service tab.
  2. 2Select the pencil beside the activity you want to change. The Update Change window opens.
  3. 3Change the activity name, Start Time or End Time if needed.
  4. 4Under Assignment Type choose This Date Only (then confirm the date under Pick Specific Date to Assign) or All Services for every occurrence.
  5. 5Under Assigned to members, remove the current person with the × and pick the new person — you can add more than one.
  6. 6Update the Activity Notes if needed and save. A Success — Activity updated message appears.
Update Change: activity, times, This Date Only or All Services, and who's assigned. Names are blurred.

Tip: To add a new line use + Add Activity to Service; to remove one, select the bin beside it. Use Filter by Member Name to find everything one person is doing.

Sending the order of service to everyone on it

How to get there:ServicesOpen the serviceOrder of ServiceNotify Participants
  1. 1Open the service on the date you want, on the Order of Service tab.
  2. 2Select Notify Participants.
  3. 3In Confirm Notification (Are you sure you want to notify all participants assigned to activities on this date?) select Yes, Notify.
  4. 4Each person assigned to an activity on that date receives a personal message, together with the PDF of the full order of service showing everyone else on the list.
  5. 5If you also need a separate copy to print or share, select Export PDF.
Notify Participants asks you to confirm before notifying everyone on that date. Names are blurred.

Important: Only people assigned to an activity on that date are notified, so check the Assigned To column first.

Assigning tasks — and what the volunteer sees

How to get there:ServicesOpen a serviceTasks
  1. 1Open the service's Service Planner tab and select Assign Task.
  2. 2Pick the task, for example anchor or music, and the person.
  3. 3Save. The volunteer gets a portal notification and an email, and the task shows as Pending under My Scheduled Tasks until they accept or decline.
The planner task list: assign, remind or reassign. Names are blurred.

Once the volunteer accepts in their portal, the task shows as accepted on the service. You can see the history, remind them, or reassign the task to someone else.

Important: Volunteers can decline later, even after accepting, as long as the date hasn't passed. Notification timings are under Settings → Task Notifications.

The Service Planner year view

Service Planner → Tasks shows every assignment for the year. Toggle between future and past, filter by service type, and see what's assigned or unassigned. From here you can remind a volunteer, see a task's history, or delete an assignment.

How to get there:Service PlannerTasks

Seeing whether a service has someone assigned: each row lists the service and date with its Assigned Tasks. Unassigned (yellow) means nobody is on it yet — select Assign Tasks. Otherwise you see the person and task with a status: Accepted (green), Declined (red) or Pending. Select Reassign or Reassign Tasks to swap the person. Use the All Statuses filter to list only unassigned or declined services, and Show Past Services to look back.

Unassigned, Declined and Accepted at a glance. Names are blurred.

Editing or cancelling a recurring service

How to get there:ServicesOpen the service on the calendarEdit

Yes — you can change just one date or the whole series. When you open a repeating service, EkklesiasOne asks: This is a recurring service. How would you like to edit it?

  1. 1Select the service on the Services calendar and choose to edit it.
  2. 2Pick Edit Only This Occurrence to change just that date, or Edit Entire Series to change every date. Cancel closes without changes.
  3. 3In Edit Service, update the name, colour, location, stream links, times or recurrence — for the series you can also change the Repeat on Days, Schedule From and Schedule To dates.
  4. 4Save.
Choose one occurrence or the entire series.
Editing the series: recurrence, days and schedule dates.

Different livestream link for one date: use Override Livestream — pick the Platform (for example YouTube), paste the New URL and select Save Override. The other dates keep their usual link.

Override Livestream for a single date.

The order of service works the same way: when loading a template or editing an activity, This Date Only changes one date and All Future Services / All Services changes the rest.

Attendance and giving for a service are recorded under Attendance and Giving, and then show on the service's detail page.

A service's Giving tab fills in once gifts are recorded.
